Keona’s scheduling solution is a great way to administer scheduling preferences for a variety of scenarios. With all the functionality available for our clients, identifying misconfigurations can be a little confusing if one is not familiar with the system. Therefore, here are some steps to make sure that everything is configured correctly in no particular order.
Verify that resources and facilities have the correct availability
Resource templates are the main way to determine what is available for resources to schedule. And it is an easy way to remove certain providers or locations from scheduling.
Make sure all settings are what you expect, this includes location, schedule, limit rules, overrides, and site availability.
Resource Information
When creating new resources, it is important to verify that each resource is associated with the correct provider if the resource is being used in Patient Self Scheduling. It is also important to make sure that all fields are populated with the information you expect from your PM system.
Please note that not all integrations require the same number of fields. Some integrations might require as little as just a provider, in any case, if the field is showing, most probably it needs to be populated. If you are not sure about what information needs to be on each field, you can review a resource that is working correctly or ask Keona for assistance.
Facility Information
Keona handles different types of locations, Practices, which are used mostly for CareDesk applications, and Facilities, which are used for Scheduling. Similarly to Resources, make sure that all information is entered as you would expect it to be. Particularly the information about integrations:
Similarly to Resources, not all integrations will require the same number of fields. If the field is being displayed it probably needs to be populated. If you have doubts about which information needs to be on each area, you can look at a facility that is currently working correctly, or simply ask Keona.
Visit Reason Information
Visit reasons are Keona’s way to interact with what is commonly referred to appointment types in most PM Systems. They provide an extra layer of control over scheduling preferences. With this in mind, it is important to make sure that each Visit Reason is correctly mapped with your PM system’s appointment types.
Appointment Types
While visit reasons are a way to interact with appointment types, Keona needs to be properly configured with the appointment types from your PM system in order to accurately search for and schedule appointments. Please ensure that the integration’s information is accurately.
If you have doubts about which information needs to be on each area, you can look at an appointment type that is currently working correctly, or simply ask Keona.
Scheduling Limitations
If your account is set with Scheduling Limitations, please verify that the limitations you have enabled are not in conflict with the expectations you have for scheduling. This section can be easy to overlook.
Patient Self Scheduling Menu Items
For CareDesk scheduling, identifying the Visit Reason for a specific request is as simple as looking at your search tools. In Patient Self Scheduling, this information is not obvious to the user/patient due to the friendly names for visit reasons as well as the different branches that CareFlows can provide. CareFlows
